ClockedHQ (“we,” “our,” or “us”) respects your privacy and is committed to protecting it. This Privacy Policy explains how we collect, use, and disclose information when you use our website and services.
Information We Collect
- Account Information: Name, email, password, billing info (Stripe), and profile details.
- Time Tracking & Project Data: Projects, tasks, time entries, invoices, clients, and uploaded files (receipts, attachments).
- Usage Data: IP address, device info, browser, pages visited, and interactions with our app.
- Cookies & Tracking: Basic cookies to keep you logged in and analytics to improve the service. We use Google Analytics (GA4) to collect anonymised usage data such as pages visited, session duration, and device/browser information. Google Analytics may set cookies on your device. Browser Extension
If you use our Chrome extension, we collect and store authentication tokens in your browser's secure storage to maintain your login session. The extension periodically checks your timer status to update the badge indicator. All data entered through the extension (time entries, project selections, descriptions) is transmitted directly to our servers using the same security measures as our web application. No extension data is shared with third parties or used for advertising purposes.

How We Share Your Information
- Service Providers: Stripe for payments, email providers, cloud hosting providers, and Google (Google Analytics) for usage analytics.
- Legal Requirements: To comply with laws or respond to legal requests.
- Business Transfers: If we sell or merge the business.
Your Rights

Data Retention
We retain personal and workspace data only for as long as needed to provide the service and meet legal, accounting, and security obligations.
- Active accounts: We retain account and workspace data while your subscription is active.
- After cancellation or closure: We retain workspace data for up to 60 days to support account reactivation requests, resolve disputes, enforce agreements, and maintain system integrity.
- Billing and tax records: We retain billing, payment, and invoice records as required by applicable law.
- Backups: Deleted data may remain in encrypted backups for up to 7 days before automatic overwrite.
- Security and abuse logs: We retain operational and security logs for up to 12 months for fraud prevention, incident investigation, and platform reliability.
When retention is no longer required, we delete or anonymize data in accordance with our internal retention schedules and legal obligations. After the 60-day post-cancellation period, account reactivation may no longer be possible.
Security
We implement industry-standard measures (encryption, secure servers, HTTPS) to protect your data, but no system is 100% secure.
